How the Rental Process Works
Here is an overview of the rental process:
1Contact us to enquire about the availability of the villa for the dates you are seeking accommodation. The best way to do this is to complete the form on the Inquiry page.
2We will confirm availability and provide you with a quote for the dates you have requested. In some circumstances you will receive more than one quotation, for example if you have flexibility in your travel plans. We may send alternative dates with a quote to you if we don’t have your exact dates available, but do have something close you may be able to make use of.
Your quotes will all include a link you can use to reach our online management system where you will see all of the quotes prepared for you, and then select which one you would like to book. There is no obligation in visiting the site and reviewing all quotes prepared for you.
3With your quotes in hand, go ahead and book the villa online. Here’s how: The quote(s) you receive will contain a link to our secure web server where you may review your quotes and then make your booking on line. Clicking on the link in the quote you want on our system will take you to our online Booking Form. You can select various optional services if you want them, and you will see exactly what your total charges with taxes will be. There are no hidden or additional charges.
The 20% Booking Deposit will be shown on your quotation and must be paid immediately to secure your reservation (see the next step).
4Pay your Booking Deposit. You may send your payment by mailing a cheque or bank draft, or doing a bank wire transfer (a $25 processing fee applies in addition to any fees your bank may assess), however most payments are submitted to us securely online by Credit Card. When you complete the booking form you will be provided your own Online Reservation Page on our system. From this web page you can easily submit your payment via your favourite Credit Card, or PayPal if you have an account and prefer to use it.
5Eight weeks prior to your Arrival Date, full payment of the rental amount is due. The previously paid booking deposit will be deducted from the amount due. You will receive an email reminder for the balance of the rental amount owing and a link to your Online Reservation Page where you may submit payment online at that time. We always send out automatic reminders, so you will get a notice when it is time to submit a payment.
6You will also receive a reminder for the security deposit, which is done as a Credit Card Authorization. This means that nothing is actually charged against your credit card, only an amount is reserved out of your card’s credit limit in case it is needed later. The Security/Damage Deposit must be submitted by credit card on your online reservations page at least two week prior to your arrival.
7After your full rental amount (and security deposit) have been paid, starting around ten days prior to your Arrival Date you will receive from our office by email an information package including details of the villa, maps, detailed directions, and an emergency contact number for our support staff in Florida.
8You will also receive an Access Code for the front door of the villa and instructions to use it. This code is unique and will only be issued to you. The code will only work during the period of your rental, and will deactivate on the day of your departure. The code is hour specific, so be sure to make arrangements in advance for an early arrival or late departure if available.
9After your Departure, an inspection and inventory will be conducted of the villa, along with a utility audit. This process can take up to four weeks, but is often completed within fourteen days. Assuming that there are no damages or additional charges, your security deposit Credit Card Authorization will simply expire with no notification to you. You will not see anything on your credit card statement.
10You will be contacted and asked to complete a brief survey and provide your comments on your stay. Your assistance through the completion of this survey is appreciated.
