How the Rental Process Works
Here is an overview of the rental process:
1Contact us to enquire about the availability of the villa for the dates you are seeking accommodation. The best way to do this is to complete the form on the Contact page.
2We will confirm availability and provide you with a quote for the dates you have requested. In some circumstances you will receive more than one quotation, for example if you have flexibility in your travel plans.
3With your quote in hand, go ahead and book the villa online. The quote you receive will contain a link to our secure web server where you may make your booking on line. You can select various optional services if you want them, and you will see exactly what your total charges with taxes will be. There are no hidden or additional charges. IMPORTANT! You have a choice of selecting and paying an optional Damage Waiver of $79 which covers you for up to $750 in Reported Accidental Damage, OR a Fully Refundable Security/Damage Deposit of $500. If you want the damage waiver, select it on the booking form in the options area, and the Security Deposit requirement will be removed from your reservation when it is confirmed.
The 20% booking deposit will be shown on your quotation and must be paid immediately to secure your reservation (see the next step).
4Pay your Booking Deposit. You may send your payment by mailing a cheque or bank draft, or doing a bank wire transfer (a $25 processing fee applies in addition to any fees your bank may assess), however most payments are submitted to us securely online using Paypal. When you complete the booking form you will be provided your own Online Reservation Page on our system. From this web page you can easily submit your payment via Paypal using your favourite credit card.
5Eight weeks prior to your Arrival Date, full payment of the rental amount is due. The previously paid booking deposit will be deducted from the amount due. You will receive an email reminder for the balance of the rental amount owing and a link to your Online Reservation Page where you may submit payment online.
6You will also receive a reminder for the optional damage/security deposit if you did not select the Damage Waiver option for your reservation. The Security/Damage Deposit must be paid at least two week prior to your arrival. It is best to pay the security deposit by credit card, no matter how else your rental charges may have been paid. Paying by Credit Card using PayPal makes it easy for us to refund the Security Deposit as quickly as possible, and at minimal cost.
7After your full rental amount (and damage/security deposit if applicable have been paid), one week prior to your Arrival Date you will receive from our office by email an information package including details of the villa, maps, detailed directions, and an emergency contact number for our support staff in Florida.
8You will also receive an Access Code for the front door of the villa and instructions to use it. This code is unique and will only be issued to you. The code will only work during the period of your rental, and will deactivate on the day of your departure. The code is hour specific, so be sure to make arrangements in advance for an early arrival or late departure if available.
9After your Departure, an inspection and inventory will be conducted of the villa, along with a utility audit. This process can take up to four weeks, but is often completed within fourteen days. Assuming that there are no damages or additional charges, your full security deposit will be refunded to you (usually by Paypal).
10You will be contacted and asked to complete a brief survey and provide your comments on your stay. Your assistance through the completion of this survey is appreciated.
